The best way to Stay Organized at work and make the most of your time at the office is to always be prepare. For example, if you always know where your documents are, then you won’t have to waste time looking for them when you need them, and you can spend more time doing work instead of searching through papers and files to find what you need. Being organized not only makes you more efficient but also puts you in control of your workday and your environment.
Develop a Daily Routine
A good place to start is by creating a routine for your day. Your goal should be that in most cases, you know how much time you’ll spend on each of your tasks before you even start working on them. You won’t be surprised when it’s time for lunch or if someone asks you a question during a key part of your project, because it will already be part of your plan. The more organized you are with your time, and consequently with your work, the less overwhelmed and stressed out you’ll feel over time. Have a Place for Everything
If you’re anything like me, your desk is currently a mess. Your papers are unorganized, your computer has dozens of windows open and your bills are still in a pile on top of an old laptop. It might be time for an overhaul. The more organized your workspace is, the easier it will be to keep track of what you have to do and make sure nothing falls through the cracks. A good place to start one for bills, one for receipts, and one for random scraps of paper that clutter up your desktop.
Look After Your Mental Health
People perform better when they’re physically healthy. When you start to feel stressed or depressed, it can be hard to concentrate on your work. When people are really tired, they may not be able to function as effectively which makes it much harder for them to get things done. If you’re having a hard time to stay motivate and getting things good. It may be a good idea for your to check in with your physician. He or she can help assess any underlying health problems that may be contributing to your difficulty. You might also try scheduling an appointment with a therapist; many therapists offer low-cost sessions if you meet certain income requirements. Your health impacts everything else in your life—make sure it doesn’t impact your productivity too!
Get Rid of Clutter
One of my favorite tips comes from Randy Pausch. A Carnegie Mellon professor and former Disney Imagineer who once gave a moving, three-part lecture about staying organized. It’s called The Unmotivated World, and it takes place in Pausch’s basement. The story shows how, when he left Disney, his family moved from California to Pittsburgh with little notice. They didn’t have time to unpack their belongings or properly organize their items before they had to leave their home. But Pausch was unmoved. He simply got rid of everything. We had thrown out far more than half of our stuff before we even left California, he explains.
Keep Files and Online Data in Sync
If you’re using several different computers, or if you just tend to be forgetful. It’s smart to make sure that your most important files are up-to-date and in sync across all of your devices. A great way to do that is by creating cloud storage accounts with companies like Google Drive, Dropbox, or etc. These allow you to store files online, so you can access them from any computer. They also give you additional space for things like video files, which you might have trouble storing locally on your laptop’s hard drive.
